The short answer: converting PDF insurance scopes to Xactimate starts at $0 and drops to a $5.00/file floor at our highest published volume — 2,500 conversions a month — depending on how many conversions you buy in a month. The free plan gives you 5 conversions a month with no card. But the number that matters more than the per-file price is the time a converted scope saves you — because that's where the real cost lives.
Published pricing (per conversion)
These are our published plan rates. Every paid plan converts scopes of 1,000+ line items per file at a flat per-conversion price — so the effective cost per scope scales down as you convert more.
| Plan | Conversions / month | Price | Per conversion |
|---|---|---|---|
| Free | 5 | $0 | — |
| ESXPress 25 | 25 | $179/mo | $7.16 |
| ESXPress 75 | 75 | $479/mo | $6.39 |
| ESXPress 100 | 100 | $599/mo | $5.99 |
| ESXPress 250 | 250 | $1,450/mo | $5.80 |
| ESXPress 500 | 500 | $2,750/mo | $5.50 |
| ESXPress 1,000 | 1,000 | $5,250/mo | $5.25 |
| ESXPress 2,500 | 2,500 | $12,500/mo | $5.00 |
| Multi-Branch / Custom | Per agreement | Custom quote | By quote |
Paid plans include a 14-day free trial, and annual billing saves 10-17%. Past your cap on any published plan, conversions pause — there are no surprise overage charges. Multi-branch teams and high-volume operations get custom quotes. The free plan needs no card and never bills.
One-off conversions: credit packs
If you don't want a monthly subscription, we sell one-time conversion credits. These are fixed-price, pay-as-you-go, and don't lock you into a plan:
- 1 file — $29
- 5 files — $99
- 10 files — $175
- 25 files — $375
Credit packs are a good fit for a contractor who only needs a handful of scopes a month, or for testing before you commit to a plan.
The honest time math
Here's the part that matters more than the sticker price. Hand-building a scope in Xactimate is typically a several-hour job for a roofing contractor. A converter that resolves every line to a real SEL code — or keeps the PDF's own price where it can't match — gets you to a reviewable estimate in about two minutes.
| Method | Time per scope | Risk |
|---|---|---|
| Hand-build in Xactimate | Several hours | Typo'd codes, missed line items, your whole afternoon |
| Automated conversion (ESXPress) | About 2 minutes | Every line resolves to a real SEL code or keeps the PDF's own price |
We're not going to tell you that everyone needs this. If you only touch a couple scopes a quarter, hand-entry is fine and a subscription is overkill. But if you're building supplements weekly, the time you spend re-keying carrier estimates is time you could spend on the scopes that actually need human judgment. That's the real cost difference.
What makes one scope cost more than another
Two variables move the effective cost of a conversion more than the plan tier does.
- Digital versus scanned PDFs. A clean digital carrier export converts fast and reliably. A scanned, photographed, or tilted scope needs OCR, which takes more time and is more likely to leave a line fuzzy. If most of your scopes are low-quality scans, budget extra review time — a converter can't read a photocopy better than you can.
- Line count and trades. A single-trade roof is quicker to validate than a multi-trade water-damage job that touches framing, drywall, electrical, and finish trades. The plan price is flat (1,000+ line items), but the time you'll spend reviewing grows with the job's complexity.
Neither of those is a hidden fee. They're just the reminder that a converter removes the keying, not your judgment.
When a subscription pays for itself
Say you're on the 25 plan at $179 a month for 25 conversions. The plan itself works out to about $7.16 per scope. That's the number to compare against your own labor — not against the cost of a tool you don't use. If you're generally paying yourself, or someone on staff, to hand-build similar scopes, the trade-off is between the plan price and those hours. What those hours are worth is yours to decide; we're not going to pretend to know your labor rate.
The honest frame is this: the cheaper a scope is per conversion, the less it matters whether the tool is worth it — it's the time you're no longer spending that decides the value.
What the price does — and doesn't — include
- You still need Xactimate. ESXPress handles the PDF-to-ESX side. Xactimate — or XactAnalysis — is the destination platform that reads the file, and that license is separate.
- Every plan converts 1,000+ line items. No per-line charges, no split-fee workarounds for a long scope. Beyond 1,000 lines there is no practical cap, so a long scope converts whole rather than being silently cut.

The bottom line: conversion costs $0 to start and from $179 a month for a steady stream of scopes. The bigger variable is what your time is worth — and whether the output survives an adjuster.
How to estimate your own cost
- Count your scopes. How many carrier estimates do you convert in a typical month?
- Match a tier. 5 or fewer → free. Around 25 → the $179 plan. Around 75 → the $479 plan. Around 100 to 2,500 → the matching published tier ($599 to $12,500). Beyond 2,500 → talk to us about a custom quote.
- Run the time math. Multiply your monthly scopes by the hours you'd spend hand-entering them, then compare that to the plan price.
Start free — 5 conversions a month, no card — and convert your first estimate in about two minutes.
